Field Assist Privacy Policy

This Privacy Policy explains how Neuralix Inc. ("Neuralix," "we," "us," or "our") collects, uses, and protects information when you use Field Assist, including our mobile applications, web application, and related services (collectively, the "Service").

Field Assist is a SaaS product available to individual users and organizations ("Customers") who license the Service to query and interact with their operational and business data. If you access Field Assist through an organization, that organization is responsible for administering your account and may have its own privacy practices that apply to your use of the Service.

Data controller: For data you submit through the Service, your organization is generally the data controller and Neuralix acts as a data processor on its behalf. For account registration, billing, and general product operations, Neuralix acts as the controller.


2. Information We Collect

We collect the following categories of information:

Account Information

Name, email address, role, organization affiliation, and other identifying details provided by your organization's administrator when your account is created.

Authentication Data

Login credentials, authentication tokens, session identifiers, and multi-factor authentication details used to verify your identity.

Chat and AI Interaction Data

Text messages you send through the chat interface, images you choose to upload, voice input you record (when microphone access is enabled), and AI-generated responses returned to you.

Operational and Business Data

Data from your organization's connected systems that you query through Field Assist. This may include work orders, asset records, maintenance logs, field reports, and other business data your organization has authorized Field Assist to access.

Device and Usage Data

App version, operating system, device model, IP address, time zone, language settings, crash logs, performance metrics, and information about features you use within the Service.

Permission-Based Data

When you grant the corresponding permissions, we may access your device's camera, microphone, photo library, and push notification tokens. These permissions are requested at the time of use and can be revoked in your device settings.

Support Communications

Information you provide when contacting our support team, including the content of your messages and any attachments.

We do not knowingly collect precise location data, biometric identifiers, or financial account information from Users.


3. How We Collect Information

Directly from you: When you type messages, upload images, record voice input, or submit support requests.

From your organization: Your administrator provides your account details and may configure what operational data the Service can access on your behalf.

Automatically: Through standard mobile and web technologies including application logs, analytics events, and crash reporting that activate when you use the Service.

From connected systems: When your organization authorizes Field Assist to query its business systems, we receive data from those systems as necessary to respond to your queries.


4. How We Use Information

We use information to:

We do not use your chat content, uploaded images, voice input, or operational data to train general-purpose AI models.

We do not sell your personal information.


5. AI Features and Data Processing

Field Assist includes AI-powered features that let you query your organization's data through a conversational interface.

What is processed: The text you send, any images or voice input you submit, and the relevant operational data needed to answer your query.

How it is processed: Your input is transmitted from the app to Neuralix's backend servers and processed by AI models deployed within Neuralix's own Microsoft Azure tenant (Azure AI Foundry). All AI inference occurs within infrastructure we control.

Where it does not go: Your data is not shared with OpenAI, Anthropic, Google, or any other third-party AI provider. It is not sent to consumer AI services such as ChatGPT or Google Gemini.

No model training: Neither Neuralix nor Microsoft uses your chat content, uploads, or operational data to train AI models.

Tenant isolation: Your organization's data is processed within logical boundaries that separate it from other organizations' data.


6. How We Share Information

We share information only as described below.

With your organization: Your organization's administrators can view user accounts, activity logs, chat history, and other data associated with your use of the Service. Field Assist is an organizational tool, and administrators have visibility into how it is used.

With Microsoft Azure: Neuralix hosts the Service, including our AI models (Azure AI Foundry), on Microsoft Azure. Microsoft acts as an infrastructure subprocessor under its enterprise data protection terms, which require it to protect your information and use it only to provide services to us. Microsoft does not use your data to train AI models.

We will update this Policy if we add other material subprocessors.

For legal reasons: We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Neuralix, our Customers, Users, or the public.

In a business transaction: If Neuralix is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will notify affected Customers where required by law.

We do not sell personal information to third parties. We do not share personal information for cross-context behavioral advertising.


7. Data Retention

We retain information for as long as needed to provide the Service and meet legitimate business and legal requirements.

Chat history and AI interactions: Retained within your organization's tenant for the duration of your organization's subscription, unless your organization configures a shorter retention period.

Operational data: Queries return data from your organization's connected systems; we do not retain copies of that underlying data beyond what is necessary to serve responses and operate caches.

Account data: Retained while your account is active. When your account is deactivated, personal data is deleted or anonymized within 90 days, except where retention is required for legal, security, or audit purposes.

Logs and backups: Technical logs and backups may be retained for up to 180 days for security and reliability purposes.

Customer termination: When your organization cancels the Service, Customer data is deleted or returned in accordance with the terms of the applicable service agreement.


8. Security

We take commercially reasonable steps to protect your information, including:

No system is perfectly secure. If we become aware of a security incident that affects your personal information, we will notify affected Customers and Users as required by applicable law.


9. Your Rights

Depending on where you live and your organization's agreement with Neuralix, you may have rights regarding your personal information.

If you access Field Assist through an organization, many requests are most efficiently handled through your organization's administrator. To exercise your rights directly with Neuralix, contact abhishek@neuralix.ai. We will respond within the timeframe required by applicable law.


10. Children's Privacy

Field Assist is designed for workplace use and is not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact abhishek@neuralix.ai and we will take steps to delete it.


11. International Data Transfers

Neuralix is based in the United States and primarily processes data in Microsoft Azure data centers located in the Central US region. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States or other countries where our subprocessors operate.

Where required, we rely on appropriate safeguards for international transfers, including Standard Contractual Clauses approved by the European Commission and equivalent mechanisms under UK and Swiss data protection law.


12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify Customers and Users through the Service, by email, or by updating the "Last Updated" date above. Your continued use of the Service after a change takes effect means you accept the updated Policy.
